One sheet, four upload files

Many Indian recruitment and exam applications ask for four separate uploads — a photograph, a signature, a left thumb impression and a handwritten declaration — each with its own pixel size and file-size window. The simplest way to produce them is to put all four on one sheet of paper and scan it once. This page turns that one scan into the four files: it finds the inked regions, lets you correct the boxes, and makes each file at the size the notice asks for.

Photo and thumb are cropped to the file’s shape from the middle of their box. Signature and declaration are never cropped — losing the end of a signature is worse than a white margin — so they are fitted inside the file on white. Then each file is compressed by searching the JPEG quality until it lands inside the KB window, and the DPI is written into the header where the notice states one.

Scanning the sheet

Use plain white paper, a dark pen for the signature and declaration, and keep each part well apart. Scan at 200 or 300 DPI in colour; a phone photo works if it is taken straight on in even light. The boxes are placed by looking for dark ink: the most solid portrait-shaped region is taken as the photo, the most solid squarish one as the thumb, a wide light region as the signature and the largest wide block as the declaration. Check them — the detector is simple on purpose, and every box can be moved.

Notices change, and the authority’s own notice always wins. Every number here is editable; check each one against the notice for the post you are applying to before uploading.

How to do it here

  1. Scan the sheet. Scan the A4 sheet holding your photo, signature, thumb impression and declaration, or photograph it straight on.
  2. Check the boxes. Four boxes are placed on the inked regions; drag or type to adjust any of them.
  3. Pick the preset. Bank (IBPS format), SSC signature, UPSC, or Custom — then check every number against your notice.
  4. Make the files. Each part is cropped or padded, resized, and compressed into its KB window; save each or the ZIP with a receipt.

Questions that come up

What sizes does the bank preset use?
From a bank recruitment notice in the common IBPS format (Punjab & Sind Bank, October 2024): photo 200 × 230 px at 20–50 KB; signature 140 × 60 px at 10–20 KB; left thumb impression 240 × 240 px at 200 DPI, 20–50 KB; handwritten declaration 800 × 400 px at 200 DPI, 50–100 KB. Check your own notice — every field stays editable.
Are the SSC and UPSC figures official?
They are labelled commonly cited: they were read from secondary sources, which are linked, not from the commission's own notice. Confirm them on the official portal. For SSC the photo is captured live during the application, so there is only a signature preset.
How does it hit the KB limit?
By searching the JPEG quality between 10 and 95, at most eight encodes per file, until the file lands inside the window. 1 KB is counted as 1,024 bytes. It never pads a file with junk bytes to reach a minimum.
The file is under the minimum KB.
A small, clean picture can compress below a minimum even at quality 95. Where the notice leaves the pixel size open, the file is enlarged in the same shape until it reaches the minimum; where the notice fixes the pixel size, it is not enlarged and the result says so plainly, so you can check the notice or rescan at a higher scanner DPI.
Is the DPI written into the file?
Where the notice states one (200 DPI for the thumb and the declaration in the bank format), it is written into the JPEG's header without re-encoding. DPI is a label; the pixels decide the detail.
Will the portal accept my photo?
This tool makes no face, background or 'photo acceptance' check, and claims none. It cuts, sizes and compresses; the portal decides.
Is my scan uploaded?
No. The sheet is decoded and the four files are made inside this tab. Nothing is sent anywhere.
